Privacy Policy

1. Who we are

This Privacy Policy explains how Vigil AI Technologies ("Vigil AI", "we", "us" or "our") collects, uses, shares and protects information when you use the Vigil AI mobile application (the "App"), available on Google Play under the package name com.vigilsai.vigilsai.

2. Scope of this policy

The App lets authorized users of the Vigil AI platform sign in and view their organization's live camera feeds, recordings, AI detection alerts, notifications and reports.

The cameras connected to the platform are installed and operated by our customers (for example, a business monitoring its own premises). For video and detection data captured by those cameras, the customer organization decides what is recorded and why; we process that data on the customer's behalf to provide the service. If you have questions about footage in which you may appear, please contact the organization that operates the camera, or contact us and we will help direct your request.

The App allows an organization to connect to its own Vigil AI platform server by entering a "Platform URL". When the App is connected to a server operated by a third party, that operator's own privacy policy also applies to data stored on their server.

3. Information we collect

3.1 Account information you provide

When you create an account or sign in, we collect:

• Organization (client) name
• Username
• Email address
• Phone number
• Password (used only to authenticate you; the App never stores your password on your device)

3.2 Surveillance platform data displayed in the App

To provide the service, the App retrieves and displays data from your organization's Vigil AI platform, which may include:

• Camera names, locations (for example, city and country entered by your organization) and online/offline status
• Live video streams and recorded video from your organization's cameras
• AI detection events, such as vehicle, person entry/exit, zone, fire, smoke and face detections, including the event type, time, confidence score and a snapshot image of the event
• Notifications, reports and statistics (for example, event counts, camera health and storage usage)
• Your role and permissions within your organization's account, and your subscription status

Video and snapshot images may show people, faces and vehicles that were in view of your organization's cameras. This data is captured by the customer's cameras, not by your phone.

3.3 Information stored on your device

To keep you signed in and remember your preferences, the App stores the following on your device using the operating system's encrypted secure storage:

• An authentication token and basic profile details (name, email and organization) for your current session
• The Platform URL you selected
• Your language and appearance (light/dark) preferences

Signing out removes the session token and profile from your device. Uninstalling the App removes all of this data from your device.

3.4 Technical information

When the App communicates with our servers, our servers may automatically record standard technical information, such as your IP address, the date and time of the request and the requested resource. We use this information to operate, secure and troubleshoot the service.

4. Information we do not collect

The App only requests permission to access the internet. It does not:

• Access your device's precise or approximate location
• Access your contacts, call logs, SMS messages, photos or files
• Use your phone's camera or microphone
• Collect your advertising ID or include advertising or third-party analytics SDKs
• Sell your personal information or use it for advertising

5. How we use information

We use the information described above to:

• Create and manage your account, and authenticate you when you sign in
• Display live streams, recordings, alerts, notifications and reports for the cameras your organization has authorized you to access
• Apply your role and permissions so that you only see the data you are allowed to see
• Help you recover access to your account (for example, password reset)
• Respond to your support and subscription requests
• Maintain the security and reliability of the service and prevent misuse
• Comply with legal obligations

6. How we share information

We do not sell or rent your personal information. We share information only as follows:

• Within your organization: data in your organization's account is visible to other users of that organization according to the roles and permissions set by the organization's administrators.
• Service providers: we use trusted providers, such as hosting and infrastructure providers, that process data on our behalf under confidentiality and security obligations and only to provide the service.
• Legal requirements: we may disclose information if required by law, regulation, legal process or a valid request from public authorities, or to protect the rights, safety and property of our users, customers or others.
• Business transfers: if Vigil AI is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this policy.

7. Data security

We take reasonable technical and organizational measures to protect your information, including:

• Encrypting data in transit between the App and our servers using HTTPS
• Storing session tokens and preferences in the device's encrypted secure storage (Android Keystore / iOS Keychain)
• Restricting access to camera and event data through role-based permissions

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password confidential and sign out on shared devices.

8. Data retention

We keep account information for as long as your account is active. Video recordings, detection events and snapshots are kept according to the retention and storage settings of your organization's subscription, after which they are deleted or overwritten. Server logs are kept only as long as needed for security and troubleshooting. We may keep certain information longer when required by law or to resolve disputes.

9. Account and data deletion

You can ask us to delete your account and the associated personal data at any time:

• Send an email to info@vigilai-tech.com from the email address linked to your account, with the subject "Account deletion request".
• We may ask you to confirm your identity before we process the request.
• We will delete your account information (name, username, email, phone number and credentials) within 30 days of confirming your request.

Video recordings and detection events belong to the organization that operates the cameras. If your account is part of an organization, deletion of that organization's camera data must be requested by its administrator. We may retain limited information where required by law, for example records needed for billing or legal compliance.

You can also remove all locally stored App data at any time by signing out of the App or uninstalling it.

10. Your rights and choices

Depending on where you live, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate or incomplete information
• Request deletion of your information
• Object to or restrict certain processing
• Receive a copy of your information in a portable format
• Withdraw consent where processing is based on consent

11. Children's privacy

The App is intended for businesses and their authorized staff. It is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

12. International transfers

Your information may be stored and processed on servers located outside your country of residence. Where we transfer information internationally, we take steps to ensure it remains protected in line with this policy and applicable law.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the effective date at the top of this page and, where the changes are significant, notify you in the App or by other appropriate means. Continuing to use the App after an update means you accept the revised policy.
